What the inbox costs you
  • Enquiries arrive faster than anyone can answer them
  • Most enquiries never get a second message
  • Contact details get retyped into the CRM, or lost
Every enquiry

Answered The Moment They Land

Written in your voice and sent, usually within minutes of the enquiry arriving.

  • Reads every new SpareRoom enquiry as it arrives
  • Your greeting, your phrasing, your sign-off
  • Adapted to the enquiry rather than pasted back
  • Sends it in the thread it arrived in
  • Holds anything it is unsure about for your approval

Sent by Chief · 19:12

“Hi! Yes, the room is still available from June. Could I ask what your move-in date is, and the best number to reach you on? Happy to answer anything about the house on a quick call.”

A morning backlog

A Night Of Enquiries, Cleared Before Your Coffee

Chief works down everything waiting the moment you sit down, so a backlog is minutes rather than a morning.

  • Everything that came in overnight, answered as soon as you open up
  • Nine enquiries in under four minutes
  • No enquiry skipped because the day got busy
  • Answered in your words, on the rules you set
Monday morning

Follow-up

The Ones That Go Quiet Get Chased

Most enquiries go cold because nobody sends the second message. Chief keeps track of who has not replied and follows up on its own.

  • Knows who never came back, without you keeping a list
  • Follows up on its own, days later
  • Stops when they reply, or when you say so
  • The leads you already paid for keep moving
One enquiry, chased
  1. Day 1 Answered

Their questions covered, and two viewing slots offered.

  2. Day 4 No reply yet

Chief nudges about the Clapham room. Both slots still free.

  3. Day 9 Still quiet

Chief offers an alternative room in the same building.

From your answers

It Answers From What You Told It, Not From Guesswork

The same handful of questions arrives every day. Chief answers them from the guidance you gave it at setup.

  • Is it still free, when can I move in, what do you need from me
  • Answers from your guidance, not a generic script
  • What you collect before a viewing, and the rules an enquiry must clear
  • The replies you already send, in your own words
  • What it was not told, it does not invent: it offers a call

The Enquiries That Cannot Work, Ruled Out Politely

You set the rules once — move-in date, budget, how long they need it, whether the room can take a couple. Chief asks in the thread, checks the answers against them, and tells you which enquiries are worth a viewing.

  • The screening questions asked for you
  • Answers checked against rules you set once
  • A courteous no, so nobody is left waiting

Wherever Your Enquiries Actually Land

Chief works in the browser on the threads in front of it, so it is not tied to one site. Room and flat listings, the larger property portals, a marketplace ad, a messaging thread, your own inbox — if you can answer it in a browser, Chief can answer it there.

  • One browser rather than one integration
  • Your own account, your own threads
  • Another listing site needs no new setup

Before you switch it on

Does Chief send replies on its own?

That is your setting. Every reply is drafted in your own account, and you choose whether each one waits for you to read it or goes out on the rules you gave it. You can change which at any time, and nothing is ever sent on a rule you did not set.

Will the replies sound like me?

Yes — setup asks for a few of the replies you already send, and Chief matches your wording, your greeting and your sign-off. It answers from the guidance you gave it rather than from a generic script, so a reply reads like the one you would have typed. Anything it was not told, it does not invent: it offers a call instead.

Does it only work with SpareRoom?

No. Chief works in the browser on the threads in front of it, so it is not tied to one site: room and flat listings, the larger property portals, marketplace ads, messaging threads and your own inbox are all threads it can read and answer. There is no integration to wait for.

Can it screen enquiries the way I do?

Yes. You set the rules once — working status, move-in date, budget, right to rent, whether a room can take a couple — and Chief asks in the thread, checks the answers against them, and tells you which enquiries are worth a viewing and which it has ruled out.

Where do the contact details end up?

In whatever you already run. Arthur, Coho, Landlord Vision, Rentman, Apex 27, Reapit, Alto and the rest, or a general CRM like HubSpot or Pipedrive: names, numbers, emails and move-in dates are read out of the thread and written across, so nothing is retyped.

Is my data safe?

Yes. Your data is encrypted in transit and at rest, your conversations are never used to train third-party models, and you choose what gets shared. Enterprise plans add further security controls and SSO.
