Data Processing Terms
Last updated: September 2026
These terms apply where we handle personal data on your behalf — the conversations you put through Chief, and the work we do with them. You decide what goes in and why, so you are the controller and we are your processor. They form part of our Terms & Conditions.
What We Process, and Why
- Why and for how long: to provide Chief, for as long as your account is open
- What we do: record, transcribe and summarise conversations, draft follow-ups, and carry out the tasks you ask for in systems you connect
- What kind of data: names and contact details, and whatever is said or written in the conversations and messages you put through Chief
- Whose data: you, your colleagues, and the people you meet or message
What We Commit To
- We process your data only on your instructions. Using Chief is your instruction; we won't use it for our own purposes.
- Everyone with access is under a duty of confidentiality.
- We keep appropriate security measures, including encryption in transit and at rest and controls on who can see what.
- We'll tell you without undue delay if there is a personal data breach, and help you meet your own obligations around breaches and impact assessments.
- We'll help you respond when someone asks to see, correct or delete their data.
- When your account ends we delete or return your data, unless the law requires us to keep it.
- Ask and we'll give you what you need to show these terms are being met.
Others Who Help Us
You authorise us to use other providers to deliver the service — hosting, transcription and AI processing among them. They are bound by the same obligations we owe you. Ask support@gochief.net for the current list, or to be told when it changes.
Where Your Data Is Processed
In the UK or EU where possible. Some processing may happen elsewhere, with appropriate safeguards in place.
